Statutory Holidays:
New Year's Day, President's Day, Memorial Day, Independence
Day, Labor Day, Thanksgiving Day, Christmas Day
TRANSFERS:
All Stations offer complimentary shuttle service from / to the
International Airports and Airport Hotels. No transfers from / to
Downtown.
Please call the rental station upon arrival at your hotel or by 10:00
AM on the pick-up day at the latest to arrange for pick-up time and
location.
Transfers between 11:00 AM and 1:00 PM
No transfers after 1:00 PM
Clients cannot pick up the vehicle the day they arrive from overseas.
We recommend staying the first night at an airport hotel or motel.
Clients are not entitled to a complimentary transfer in case of late
vehicle return.
DRIVER'S LICENSE:
A valid national driver's license is required for each driver. An international driver's license is recommended but not required for foreign customers.
MINIMUM AGE:
The minimum age for the rental of a vehicle is 25 (younger upon request only).
MINIMUM RENTAL:
7 nights (longer minimum may apply for holidays and special
events)
7 nights for "one-way" rentals
A Preparation Fee applies for all rentals of less than 21 nights.
VEHICLE PICK-UP:
Between 9:00am and 1:00 PM
VEHICLE RETURN:
Between 9:00 AM and 11:00 AM
No free transfers to the Airport after 11:00 AM
Charges for late vehicle return or unauthorized extension of the rental
period:
US $30.00 per hour or US $300.00 per day.
Only the regular rental rate will apply with proper authorization
through Rentprivaterv.
RESERVATIONS:
Reservations are on request and need to be confirmed in writing.
DEPOSIT
SunGlow RV requires a security deposit of:
US$ 500.00
US$ 500.00 when traveling into Baja California
Notes: Additional deposit may be required for special events
e.g. "Burning Man"
PAYMENTS
Rental charges and other charges must be received 45 days prior to departure. If payments are not received when due,
RentprivateRV reserves the right to cancel the reservation.
Without payment in "full" the vehicle will not be handed to
the customer. Payments in U.S. currency.
Credit card :AMEX, VISA and Master are accepted.
REFUND FOR UNUSED PORTION
No refund will be given if the vehicle is returned prior to the contracted date or for "no shows".
CANCELLATION
Every cancellation needs to be made in writing. The day of receipt of the cancellation is the
date the cancellation fee is calculated as follows:
up to 31 days prior to rental date: 20% of rental price or at
least US$ 300.00 will not be refunded
30 days to 8 days prior to rental date: 50% of rental price will not be
refunded ($300.00 minimum)
7 days to 4 days prior to rental date: 75% of rental price will not be
refunded ($300.00 minimum)
3 days or less prior to departure date and no-shows: 100% of the rental
price/deposit will be kept
In addition to the charges mentioned above any confirmed one-way
drop-off charge must also be paid.
CHANGES OF BOOKINGS
One free change per booking. US$ 50.00 per change thereafter.
EXPLANATION OF VEHICLES:
All Stations employ multilingual personnel - English and German.
Customer should allow for a minimum of one hour for the paperwork and
explanation of the vehicles at time of pick-up.
An Operations Manual in English and German is included in every vehicle.
PICK-UP / DROP-OFF:
All Vehicles are delivered clean (inside & out), with full
Gasoline, Propane and Water tanks;
First application of chemicals for toilet & toilet paper.
CLEANING FEE:
The clients are advised to return the vehicle with the interior cleaned
and holding tanks
dumped to avoid any cleaning- / dumping charges.
GASOLINE AND OIL:
The cost of propane, gasoline and oil are not included and Rentprivate RV
does not assume responsibility for
estimates of consumption. All vehicles are delivered with full tanks and the customer is expected to return the
vehicle with full tanks or will be charged accordingly.
MAINTENANCE:
The customer is responsible for checking engine oil and coolant levels
at each refueling as well as reporting
mechanical failures immediately. Coolant refills and authorized repairs will be reimbursed upon return
of the vehicle and presentation of all receipts (see Mechanical Breakdown). It is the driver's responsibility
to operate the vehicle in a safe manner and to exercise all caution possible.
ROADSIDE ASSISTANCE:
RentprivateRV operates a toll free emergency number 24 hours / 7 days a
week. Customers may call
this number in case of an emergency, an accident or technical problems.
MECHANICAL BREAKDOWN/REPAIRS:
For repairs exceeding US$ 50.00 the customer must call the RentprivateRV
24-hour toll free telephone
assistance to obtain proper authorization. Non-authorized repairs exceeding US$ 50.00 will not be
reimbursed. Receipts must be presented to RentprivateRV for reimbursement. Customer will be
held responsible for mechanical damage due to negligence in operation and/or maintenance.
Customers are required to cooperate fully with RentprivateRV to remedy any problem.
Defects on Radio/CD/Tape/TV/VCR/DVD, Air Conditioning, Refrigerator, Generator, Awning,
Slide-out and Cruise Control are not considered a technical defect on the vehicle and there is no refund.
IN THE EVENT OF AN ACCIDENT:
The customer must obtain a local police report as provided by
the
attending police officer investigating the accident. An accident report
form is supplied to the customer and is located in the vehicle along
with the registration- & insurance papers.
RentprivateRV must be notified as soon as possible. A full-written report
along with the other party's name, address, phone number, insurance
information and driver's license number on the supplied accident report
form will be required upon return of the vehicle.
All documents relating to the accident must include a police report- or
identifying number.
Insurance coverage may be void if the above instructions are not
followed.
PARKING/TRAFFIC VIOLATIONS:
It is the clients responsibility to report and pay for all
parking/traffic violations at check-in. Failing to
report these violations at drop off will cause a charge of an administrative fee of up to $100.00 plus the fine (including all late charges) to the clients credit card.
SUBSTITUTION:
If for any reason the booked vehicle should not be available,Rentprivate RV reserves the right to
substitute a higher-rated vehicle at no additional cost. Should a lower-rated vehicle be substituted,
the liability is limited to the refund of the gross rate difference of the two vehicles.
RESTRICTIONS:
Pets: Pets are not allowed.
Smoking: Smoking is not allowed in any vehicle. A fee of US$250.00 for
cleaning / deodorizing applies.
Mexico: Traveling into Mexico is not permitted except Baja California.
RentprivateRV
has to be advised at the time of reservation and a surcharge will
apply. Customer must provide Mexican insurance and is fully responsible
for returning the vehicle to the US side of the international border
under all circumstances.
Death Valley: Traveling into Death Valley is not permitted between June
1th and September 30th.
Alaska: Traveling within Alaska, Yukon and/or NWT is permitted.Rentprivate RV must be advised at the time of reservation and a surcharge will
apply.
Other: Private-, gravel-, dirt- or logging roads and other non-public
roads, beaches, etc. are prohibited.
Included in the daily rental rate are:
Public Liability Insurance to cover accidents in the event that the Renter is at fault. The policy protects the company for US$ 1,000,000 and the Renter to Statutory Limits.
A US$500.00 deductible for Accidental Damage (starting 01/01/2004): "Accidental Damage" includes but is not limited to: Motor vehicle accident; Vehicle theft; Vandalism; Fire; Windshield & glass damage.
CDW (collision damage waiver) covers you for collision damages to your rental camper with a deductible of $500. This insurance is also included and protects the renter against theft, vandalism and accidental damages.
VIP (vacation interruption protection) We offer and recommend
"VIP".
For $15 per day, with a maximum charge of 36 days ($540), "VIP" reduces
your liability for damages to your rental car to $150.
VIP protects you against
- windshield and other glass damage
- protection against theft and vandalism
- protection against uninsured motorists
Exceptions: damages caused by striking overhead objects, backing up
vehicle, tire, under car, and interior damage are not covered by "VIP".
However, the "VIP" option limits the customer's liability for these
non-covered damages to a maximum of $500.
If Renter's motor home vacation is interrupted by an
automotive
mechanical breakdown for more than 12 working hours after reporting
such to RentprivateRV, the Renter will be reimbursed for the greater of:
(i) the gross daily rate or: (ii) expenses for hotel rooms up to US$
25.00 per person per night and car rental up to US$50.00 per day per
motor home to a maximum of US$1,500.00 per tour. Receipts for all
incured expenses must be presented for refund. Radio, TV / VCR / DVD /
Cassette Tape, generator, air conditioning, fridge, cruise control,
awning, slide-out malfunction, etc. are not considered to be mechanical
breakdowns.
The following losses are not covered if damage is caused by:
Negligent Damage
Unlimited responsibility for Negligent Damage: "Negligent Damage"
refers to accidents caused as a result of Driver's negligence and
includes but is not limited to: (i) accidents occurring off road; (ii)
accidents occurring while backing up; (iii) damage above windshield
caused by striking overhead objects, undercarriage damage (including
tires and wheels); (iv) all damages caused by misuse of slide-out and
awnings; (v) damage caused by freezing of the vehicles systems (when
temperatures are below freezing, it is not permitted to fill water
tanks)
Deliberate or willful damage caused by renter or guests
Personal contents are not covered
Failure to maintain all fluid levels
Driving under the influence of alcohol or drugs
Traveling in restricted areas
Carrying more passengers than having seat belts available
Failure to use specified fuel
Operation by anyone under 25 years of age unless approved by
